Treeno Software Helps Non-Profit Foundation Achieve Green Initiatives with Treeno Connect
Date:4/18/2013

Portsmouth, N.H. (PRWEB) April 18, 2013

Treeno Software, Inc., a leader in Electronic Document Management (EDM), announced today the integration of its Treeno Connect solution with MicroEdge’s GIFTS grant management software to automate the grant submission process for the Illinois Clean Energy Community Foundation. Established in 1999, the mission of the Illinois Clean Energy Community Foundation is to improve energy efficiency, advance the development of renewable energy sources, and protect natural areas for people in communities across Illinois. Over the past several years, the Foundation has awarded over 3,900 grants providing $191 million to Illinois nonprofit organizations, schools, municipalities and other local and state government agencies. Treeno Software is helping the Foundation achieve its green initiatives by providing an efficient paperless workflow.

Oftentimes, grant applications are submitted as paper documents that sit waiting on several different desks during the grant review cycle. Even when they are submitted electronically, the applications must be manually routed to the appropriate e-mail inboxes and end up being printed anyway. Keeping track of those applications as well as additional documents related to the grant request (501c3 tax forms, budget spreadsheets, annual reports, etc.) can be time-consuming and may result in endless paper trails when those documents are lost, misfiled, or overlooked in someone’s e-mail inbox. Additionally, because there is no way to link those documents with the record entries in the GIFTS database, it may be impossible to track and report on the complete lifecycle of the grant application.

The seamless integration between Treeno Connect and GIFTS addresses these problems by eliminating the manual tasks—and unnecessary printing—associated with managing grant applications. As grant applications are submitted to the Foundation as paper documents or electronic files, users can easily scan or drag and drop those documents directly into the secure Treeno repository. There is no need to hold on to or print the applications, saving space and resources. Users then enter information about each application in the GIFTS database. When they complete the data entry, they simply click Treeno Connect’s Index button to automatically link the GIFTS record with the electronic version of the application in Treeno. Any supplemental documents related to the grant application can then be scanned or imported into Treeno and associated with both the electronic application and the GIFTS record. This cross-referencing also makes it easy for users to later retrieve an application from Treeno. Using Treeno Connect’s powerful Search feature, they can display the application directly from the open record in GIFTS. Any updates that are made to the GIFTS record are automatically reflected in the document’s search values in Treeno, ensuring fast and accurate search results.

"Illinois Clean Energy was looking for a solution for all of our overcrowded paper file folders. We were running out of space to store all of our grant paper documentation which has been our policy to keep everything. We sought out Treeno Software because it provided us with the best document management solution. Their solution allows us to scan our files into a database that we can use online so the entire grant file is available to us anywhere electronically. This is especially useful during site visits. More importantly, Treeno was able to link their database with our grants database so that the filing system in Treeno matches and pulls additional documentation as well based on the grant criteria. Since the implementation of Treeno, we have experienced increased productivity and flexibility to manage our grants process while at the same time consuming less paper consumption and office space. " said Keyonnie Dowdell, Grant Adminstrator/Technology Manager at Illinois Clean Energy.
