Events and Function - 10 Tips for the best Catering

Box Catering in Sydney understands how critical a business event and function can be. It can make or break a business relation you are trying to establish or develop. We have seen shockers -events that were poorly conceived and executed, where the client terminated the relationship straight after the event! Box Catering in Sydney has had a wealth of experience and we know that no event is the same and no menu should be the same either, so we want to ask 10 questions that will help you organise the best event catering possible:

Things to consider when organising catering for an event:

1.    What is the purpose of the event?
2.    What style will the event be?
3.    Is the catering for a meal or just nibbles?
4.    What is the approximate number of guests that you expect?
5.    What is the date of the function, what time of day will it be held and for what duration?
6.    Is there power available for the hot boxes?
7.    What is the delivery access and access to power?
8.    Do the guests have any food allergies or intolerances?
9.    When can we pick up the catering equipment?
10.    Do you want any other special service?

Other important things to consider:

Would you like staff to serve the food and or beverages?

Would you like us to provide beverages?

What is the purpose of the event? E.g. Opening of new corporate offices, a Staff Member’s Farewell, Client’s thank you drinks.

Understanding the purpose of the event will assist us to recommend the most appropriate style of food and service for you. For example the opening of your new offices will likely be a gala event, with impeccable staff to serve wonderful canapés and champagne. However a staff meeting may require relatively simple sandwich platters and fruit or perhaps even a boxed meal that they can simply grab and go. The more information that you give us the more appropriate we can be when designing the menu.

What style will the event be?
Is it a standup canapé or cocktail function, a working breakfast or lunch or dinner, a business conference, a 21st birthday party, an engagement or even a wedding? Will it be formal or casual or somewhere in between? Whatever the occasion we will cater to your needs.

What is the approximate number of guests that you expect?
This seems like a straight forward question however people can be slow to respond to an invitation and require a follow up email or just a quick call to remind them of the invitation. We understand how difficult answering this question can be. We just need your bust guess to start with and will require final numbers about 5 days before the event.

What is the date of the function, what time of day will it be held and for what duration?
Sometimes Box catering can be booked out – particularly on Friday and Saturdays. November and December are also generally very busy so please book as early as possible. Also, the time of day and duration of your event will influence the style and quantity of food that we will need to recommend for your event. We will arrive about 30 minutes before any event starts to organise the food and set up for any of your additional requirements. Our Boxes will keep the food hot for several hours without comprising the quality.

What is the delivery access and access to power?
We need clear access to deliver the boxes to the place that the boxes are going to be stored. This area should be a back of house area and away from the party if possible. Please have it cleared, set up and ready before we arrive. The boxes weigh about 40 kgs so if there are stairs along the access way please tell us before we come to your event. Ideally we need a single 240 volt power point to run the small thermostatically controlled oven that is built into the wall of the Box unit. The boxes only draw a very small amount of power.

Do the guests have any food allergies or intolerances?
This is one of the most important questions that we can ask you. Please try not to guess whether people at your event have an allergy or not. It is very important to find these out as the conquences can be deadly. Please send out an email requesting that all guests notify you of any allergies or dietary requirements. We treat this with the most care and if there is even one person with an allegery that could cause a person could have an anaphylactic shock, we will recommend that the cause (e.g. nuts, garlic, etc.) be removed from the entire menu for this event.

When can we pick up the catering equipment?
Please arrange a time us our delivery driver to pick up the hot boxes and platters from you event. You don’t have to be there and it could be a common area of a building. Just discuss it with your Box Catering coordinator or friendly delivery driver.

Do you want any other special service?
You might want a themed menu for a special occasion, or a food item that is not on our menu – whatever the question or comment is please ask and leave the magic to us.

Would you like staff to serve the food and or beverages?
We have a wonderful, professional and well trained team of waiters and bar staff ready to make your event perfect. Consider whether you might need any staff to serve during your event. This can be a single waiter to arrange all of the food and beverage service for a small event or a battalion of staff and an event coordinator for a major event.

Do you want beverages?

We have access to a large range of beer, wine, spirits and soft drinks.
